Job Description

The post holder will be responsible for providing effective and efficient clerical and administrative support to either an individual or a team of healthcare professionals. The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems. The post holder will often be the first point of contact and a focal point for the services requiring clear communication and liaison skills. They will be responsible for managing and prioritizing their own workload and will be required to use their own initiative.
The post holder will be required to work as part of a team at a community base and provide cross cover during periods of staff absence.

  • To use a variety of software packages such as Microsoft Word, Outlook, Powerpoint, Excel, Access etc to produce correspondence and maintain presentations, records, spreadsheets and databases.
  • To devise and maintain office systems.
  • To use content management systems to maintain and update websites and internal databases.
  • To collate data for performance reporting as required.
  • To attend meetings, taking minutes and keeping notes.
  • To liaise with staff in other services and with external contacts.
  • To sort and distribute incoming post and organize and send outgoing post
  • To organize, store and archive paperwork, documents and computer- based information
  • To photocopy and print various documents
  • To book rooms and support both in-house and external training events.

Required Knowledge, Skills, and Abilities
  • Bring to the attention of the service clinicians any investigations or results that are pending and require action following transcription of clinical correspondence.
  • Deal with telephone communications and type letters with a potentially distressing or emotional content.
  • Participate in service development projects supporting staff surveys or audits as necessary.
  • Provide non-clinical advice and information to patients/clients/relatives; exercising judgment when dealing with patient enquiries, analyzing and resolving problems at source.
