Job Description
The role is predominantly based in the Plymouth office, but occasional travel to other branches may be required. The ideal candidate would be a self-starter, who is organized, accurate and efficient, with good communication skills (written and verbal). Extensive knowledge and experience of Word, Excel, Access, PowerPoint and Outlook is required, with previous use of InDesign an advantage.
- Arranging site visits
- Preparing project related documents
- Providing relevant support with project management system
- Responding to pre-qualification questionnaires, bid quotations and supplier questionnaires within deadline
- Assist with tender submissions
- Create staff CVs, project sheets and capability statements
- Assist, participate and report monthly on Social Value activities
- Maintenance and annual update of insurance and company accreditations with external sources
- Assisting HR manager with H&S administration, including updating database, managing COSHH sheets and assessments, ordering PPE
- Assisting with administration of new starters – uploading IT installation sheets/phone line allocation/setting up new starter desks (general stationery etc.), ordering and set up of IT kit
- Non confidential HR administration
- Diary, email and general support to Plymouth Regional Director
- Assisting MD with membership activities for external organization
- Attending certain internal meetings and taking minutes
- Assisting Business Services Director with management of telephone system
- Assisting Business Services Director with administration of facilities management
- Setting up bids on project management system/transferring bids to live projects
- Assisting with completion of PQQ’s
- Branch stationery orders
- Reception duties: greeting visitors, organizing and maintaining meetings, answering/transferring calls
- Updating documents on SharePoint
- Arranging travel and accommodation
- Scanning/printing/electronic filing of documents
- Dealing with incoming and outgoing post
- Daily tasks to ensure appropriate level of service is maintained
- Working in a friendly environment you will perform a wide range of administrative and office support activities to facilitate the efficient operation of the organization.
