Job Description

You are responsible to the Manager for the handling and processing of information to enable it to be stored, archived, located and retrieved efficiently, whilst ensuring its integrity.

Responsibilities

  • Facilitate the efficient and effective processing of corporate information and knowledge in accordance with Ministry of Defense Information Management (IM) policy.
  • Ensure that documentary security is maintained.
  • Administer IT user accounts for Unit personnel.
  • Submit IT catalogue requests received from Unit personnel.
  • Administer the organization’s file plan.
  • Receive, dispatch, scan and register documents.
  • Controlling unit wide announcements and distribution of information in the most effective manner.
  • Advise on and administer the security classification of folders.
  • Arrange the transfer of records to the appropriate authority, or their destruction/deletion, as required by policy.
  • Administer team sites and shared drive folders.
  • Ensure Multi-User Mailboxes are being actively managed.
  • Management of Group Mailboxes (setting up, closing and monitoring distribution of messages).

Actively maintain and promote a safe working culture and adhere to the Health and Safety procedures, processes and the law.

  • Requirement to work 37.5 hours per week (Mon to Fri) during core hours and flexibly when required.

Required Knowledge, Skills, and Abilities
  • Previous administrative and information management experience – (Desirable).
  • Good organizational skills with a high degree of integrity.
  • Good verbal and written communication skills and ability to develop close working relationships.
  • Good all-round standard of education, especially literacy and numeracy.
  • IT literate with a good working knowledge of Microsoft O365 applications.
  • Knowledge/understanding of MOD administration and IM processes (Desirable).
  • An understanding of the General Data Protection Regulations (GDPR) and the Data Protection Act (DPA).
