Job Description

We are looking to recruit an Administrator, to join our friendly and outgoing team, in this fulltime, permanent role, you will be responsible for:

  • Reception duties, including, answering, and directing telephone calls to the relevant personnel, welcoming all visitors, and informing relevant personnel of their arrival.
  • Ensure office stock and stationery is replenished as and when required, including printing and photocopier facilities.
  • Register and maintain a list of warranties for all relevant equipment purchased.
  • Manage and maintain Outlook folders.
  • Maintaining the register and maintenance of Creative Construction Camera’s and any other electrical equipment provided to site staff.
  • Ordering and allocation of PPE and company clothing
  • Allocation of keys and maintain documentation.
  • Filing and archiving of all relevant office and project documentation

Specific Duties To Include

1.Ordering and tracking of

a. Stationary

b. Uniform

c. Staff welfare

d. Phones and computers (with assistance)

2. Timesheets

a. Organization and submission to Finance

b. Job coding of timesheets

3. Site Set-up and Site-Closure

a. Preparation of documents

b. CIA set-up

c. Maintenance of Project List

d. Liaising with BSG and Considerate Constructors

4. Maintenance Work

a. Maintenance of Elogbooks database

b. Submission of paperwork to Facilities Manager

c. Planned Maintenance paperwork and filing.

5. Holidays

a. Calendar maintenance

b. Spreadsheet maintenance

c. Validating timesheets

6. Invoicing

a. Zahara invoice creation

b. Manual data entry

Required Knowledge, Skills, and Abilities

The successful candidate must have previous administration experience, preferably in the Construction Industry and be confident working in a fast-paced environment. You must be a self-motivated individual, who can progress work quickly to the desired standards. We require a reliable and methodical person, who can communicate effectively, both written and orally. Being able to organize, plan and priorities across many tasks at once, is essential.
