Job Description

To prepare, produce and process all Health and Safety related documentation and to ensure that a monthly Health and Safety meeting is held at each location in order to support the safe and healthy working environment of the dealership. Ensure all Health and Safety paperwork is maintained, compliant and up to date for all dealerships and to liaise with Group Health and Safety Manager on a daily and weekly basis.
Key Responsibilities and Duties:

  • To ensure the current Health and Safety management system, policies, procedures and standards are maintained accurately and compliant with current and pending legislation. Ensure confidentiality and security of privileged information.
  • To provide support to Group Health and Safety Manager and dealership’s Head of Business to enable the implementation of all aspects of the Company Health and Safety policy and procedures, as detailed in the monthly Health and Safety meeting checklist.
  • To ensure that all dealerships are visited at least once a month to monitor standards, ensure completion of documentation and hold monthly Health and Safety meetings.
  • Regional Health and Safety Coordinator to ensure that during all site visits that dealership walk round takes place and any issues with Covid-19 Reset plan, slips trip or falls and fire hazards are identified and remedial action taken.
  • To ensure that all reporting to Group Health and Safety Manager is completed accurately and by the agreed deadlines. Such requirements will be either weekly, monthly, 6 monthly or annually to comply with legislative and Company requirements.
  • Ensure that Head of Business is aware of current on-line Health and Safety training performance and where applicable instigate plan to ensure that all training is to date at each location.
  • Ensure that the monthly board report data and Health and Safety meeting returns are completed and submitted to an agreed deadline.
  • Ensure that accident reporting is completed accurately and on time.
  • To liaise with Sub-contractors to ensure that all planned maintenance and remedial work is arranged and completed to comply with Company legal obligations and to take all reasonable steps within their power to meet this responsibility.
  • To arrange and attend regular on-site Health and Safety Audits with Group Health and Safety Manager and ensure any resulting actions are completed by agreed deadlines.
  • Respond professionally and confidentially to all people in respect of any Health and Safety issues and report such instances to either the Head of Business or Group Health and Safety Manager.
  • Respond professionally to people contacting the Head of Business, regarding Health and Safety and providing the Head of Business with accurate and up-to-date information concerning any new developments.
  • Provide and update a weekly diary system to the Group Health and Safety Manager, ensuring accurate details are maintained on daily activities.

Work Pattern

  • This is a full-time position, Monday to Friday.

Required Knowledge, Skills, and Abilities
  • Previous experience within an Administrator/ in the Motor industry desirable.
  • Must be a self-starter, confident travelling between locations.
  • Have excellent communication, organization and interpersonal skills, with a professional telephone manner.
  • Competent knowledge of Microsoft Office, including Word and Excel.
  • Willing to undertake further training.
