An exciting opportunity has arisen for a Secretary to support both the Commercial Director and Programme Director within the US Programmes business based at our site in Samlesbury.

We are seeking a self-motivated and experienced secretary to carry out this busy role. The successful candidate will be required to interact on a daily basis with senior people, both external and internal to the business. Ensuring the smooth running in the form of diary management, travel arrangements and expenses together with assisting with large meeting planning, preparation and support.

This is a highly visible role supporting the USP MC level and would provide an opportunity for a proactive, dynamic secretary to really shine.

Your main responsibilities as a Secretary will involve:

  • Coordinating of briefing material to appropriate timescales and in a suitable format required.
  • Managing diaries and Travel bookings (travel, time management, task management, meeting packs etc.).
  • Emailing management (drafting responses, delegating actions, correspondence, archiving etc)
  • Appropriately dealing with highly sensitive, confidential or privileged information.
  • Supporting set up Skype and HDVC meetings - local and international as required
  • Reconciling and timely submission of expenses.

Required Knowledge, Skills, and Abilities
  • Experience of providing secretarial and executive administrative support at a senior level
  • Experience with diary management and booking travel & expenses
  • Prior experience in the use of various bespoke IT Systems and meeting technology e.g. HDVC and telepresence
  • Ability to manage conflicting workload and challenges whilst working flexibly and proactively.
  • Experience in dealing with confidential information appropriately
  • Ability to build effective relationships at all levels and to work effectively as a team member

You should have the ability to communicate effectively with Director level stakeholders. You will have strong organizational skills and be able to use your own initiative to solve problems and be highly professional in your approach.
