Job Description
For this role we are looking to recruit an enthusiastic and highly motivated individual with excellent keyboard and typing skills, someone who is well organized, with an eye for detail and an ability to exercise discretion and confidentiality at all times. Someone who will be able to provide a comprehensive administrative service and be an integral member of the ward team. Assisting the clinical lead, clinical team members and ward-based staff with all aspects of ward/patient related administrative tasks.
The main duties of the job are to assist the clinical lead, clinical team members and ward based staff with all aspects of ward/patient related administrative tasks.
We are looking for someone with excellent keyboard, typing and communication skills. Someone who is well organized and who can either take the initiative and work on their own or more importantly as part of a busy team.
This is a very responsive and varied role, reacting to the needs of the ward on a day to day basis, ensuring that the highest standard of professionalism is given at all times.

- To provide a range of administrative duties for the clinical lead and ward team, including keeping diaries, organizing meetings, filing, photocopying and typing correspondence.
- Take minutes of meetings for Ward Rounds and Ward Team meetings.
- As directed by the clinical leader the post holder will assist with the ordering of office/ward equipment including stationery, furniture and fittings. Clinical provisions and cleaning supplies for the ward.
- Responsible for development/maintenance and distribution of weekly agendas.
- Responsible for setting up patient related documents relevant to the clinical team.
- Responsible for requisitioning/collecting/recording and distribution of monies for ward/patient related activities.
- Maintain ward notice boards and information racks in up-to-date order.
- Responsible for weekly input of outcome from clinical team discussions .
- Process patient sick certificates.
- Read letters for patients as required and as appropriate, as instructed by the clinical leader.
- Arrange patient appointments and transport and liaise with team about discharge appointments following the 7-day follow-up procedure.
- Maintain an accurate record of all patients on the ward and ensure that documents for admission, discharge, leave and transfer of patients are completed.
- Responsible for requesting and completion of relevant benefits and related forms on behalf of patients or arrange for patients to meet with Benefits Advisor.
- To undertake any other reasonable duty, when requested to do so by an appropriate Trust manager.
- To understand and comply with all Trust policies, procedures, protocols and guidelines.
