Job Description

This role is pivotal to running an efficient security services team that supports many projects. You will support the team on a range of administration tasks. Across all tasks work with senior colleagues to design and deliver effective administration processes, to provide high quality and value support to the team.

You will run billing reports to track the team’s revenue targets, work with team leads to run resource management processes: allocating and tracking the team’s work. You will also support the immediate team, and broader department, with recruitment, to ensure a smooth end-to-end recruitment process.

What will you get involved with?

  • Production of regular billing reports – to give team manager and team leads a view on progress against set targets.
  • Resource allocation to projects – working with team leaders to assign relevant resource to give technical support to projects.
  • Ad hoc administration tasks – to support the documentation, promotion and running of the team’s services.
  • Interview arranging – liaising with Hiring Managers and candidates to coordinate diaries and availability.
  • Workday interview administration – collating interview notes & packs to upload into Workday for audit purposes
  • Background checks – coordinating with external candidates to initiate background check process: document collection, verification, and upload into Workday.
  • Proactively monitor progress, keep relevant parties updated and chase vetting supplier where necessary
  • Inform relevant parties of next steps to complete on-boarding successfully.

Required Knowledge, Skills, and Abilities
  • Extensive coordination and logistical skills
  • Proactive mindset, uses initiative
  • Confident when communicating with a range of stakeholders, internal team leads and managers, candidates, and external suppliers
  • Ability to understand existing processes quickly, as well as skills to help design and improve new ones.
  • Ability to adapt to changing workload volumes and demands at pace: deal with high numbers of requests without compromising candidate experience and provide an effective and timely service to the recruitment community
  • Flexibility to assist in ad-hoc projects when needed
