Job Description
  • Answering calls and assisting clients with their queries to the best of your ability, only transferring to a Paralegal or Fee Earner where you are unable to help the client.
  • Being helpful to our clients and answer their questions with thorough and clear answers.
  • Logging in all post to the cases, using the correct receipt phrase for the item and adhering to PLS Guidance on receipt phrases.
  • Responding to basic emails from client to provide updates where requested and adhering to any client SLAs when responding.
  • Promptly dealing with tasks set by paralegals and fee earners noting particular tasks which have a time limit/are urgent.
  • Taking full responsibility of the administrative side of your role such as (but not limited to): managing and allocating incoming post to the relevant paper files making sure no post is left outside a file, ensuring the filing cabinets are kept organized, maintaining deeds scheduling and reporting to Team Leader, advising team members once signed documents are in.
  • Assisting the paralegals in the administrative side of the post-completion processes as requested by them.
  • Submitting Certificates of Title to Lenders and any required surplus documentation in order to facilitate completion, including (but not limited to) obtaining signed undertakings from solicitors and leaving on case for fee earners or retrieving signed PG and ILA documentation from paper files.
  • Assisting the paralegals, once a matter has completed, by fully completing and dating any necessary registration documentation and scanning into case.
  • Locating documentation for paralegals or fee earners as requested.
  • Sending out documentation for clients to sign and send back as requested.
  • General requests from the team (depending on the capacity).

Required Knowledge, Skills, and Abilities
  • Strong administrative skills gained in an office environment
  • Excellent attention to detail
  • Good telephone manner
  • Conversant in Microsoft office
  • Highly organized
  • Willingness to learn new skills
  • Experience of using a case management system (we use Proclaim) is desirable
  • Willing to build relationships with referrers of work through excellent communication
