Job Description

This role would suit a highly organized person that loves getting things done, keeping things in order, following documented processes and providing excellent customer service. You should work well in a team, but also when working independently. A methodical approach to work and a high level of attention to detail is a must for this role.

The Administrator / Property Manager is responsible for all aspects of property management, completing work in a methodical manner, keeping excellent records and updating stakeholders at all times.

Key Responsibilities

  • Manage planned maintenance and daily ad-hoc maintenance issues, liaising with the appropriate contractors to deliver the work and keeping tenants, property owners and other stakeholders up to date at all times, as well maintaining excellent records within our property management systems.
  • Ensure invoices for all instructed works are checked thoroughly, approved and sent to Finance for payment.
  • Ensure the accuracy of maintenance costs charged to landlord accounts.
  • Achieve approval from landlords (when required) for maintenance requests to their property.
  • Liaise with trades to manage deliveries and ‘sign off’ approval for works.
  • Communicate all actions to be taken, including deadlines, to all clients.
  • Effectively manage maintenance budgets and deliver to target.
  • Ensure all systems are updated on a daily basis with confirmation of task completion, or next steps and deadlines if rolling over to a future date.
  • Maintain and build good relationships with trades, and recruit new trades where required.
  • Ensure Maintenance Engineers are managed efficiently and effectively.
  • You will also be responsible for ensuring we continue to receive excellent reviews of our service from both landlords and tenants, on both Google Reviews and across social media.

Contract

  • Term: Permanent
  • Hours: 09:00am - 5.00pm Monday – Friday
  • Flexible working hours to suit the role, which can be discussed in more detail, during the interview process.

Holiday

  • 30 days, including UK bank holidays.

Required Knowledge, Skills, and Abilities
  • Demonstrable abilities in organizing self and others.
  • A highly motivated and highly organized individual with an aptitude of keeping things in order.
  • Excellent communication skills, both written and verbal.
  • Ability to manage and priorities a range of tasks – own and others (primarily others outside the organization).
  • Excellent time management across a range of activities.
  • Good computer skills and experience using Microsoft Office on a day-to-day basis, as well as web-based applications..
  • An eye for detail and an absolute commitment to quality.
  • The ability to work in a self-managed way as well as working well within a team.
  • Excellent telephone manner.
  • Ability to accept and execute tasks without the need for follow up.

Experience:

  • Administrative: 1 year (preferred)
