Job Description

To be responsible for the implementation and delivery of a consistent and efficient facilities management administration service in support of a multi-site charity. Providing the administrative support for the facilities team through ensuring efficiency of facilities and maintenance systems, finance/purchasing needs, facilities reporting and record keeping.

You will include:

  • Allocate and track maintenance requests in a CMS system
  • Oversee the planned preventative maintenance programmes
  • Administer job allocations for daily, cyclical, statutory and PPM schedules of work.
  • Obtain comparative quotes, procure and order materials and supplies for work projects
  • Undertake building area inspections
  • Assist with maintaining the schedule of contracts and permits to work
  • Assist with departmental budgeting and forecasting spend

HOURS OF WORK:

  • The normal working week will be 32 hours, with the option to work either a four or five day week, Monday - Friday.

SALARY & BENEFITS:

  • Salary range: £28,000 - £30,000 p.a.

Required Knowledge, Skills, and Abilities
  • Strong organizational and administrative skills with the ability to plan and priorities your work.
  • Previous experience in an estates or facilities management environment with an understanding of building fabric, mechanical & electrical services compliance.
  • IT proficiency in Excel, Word and Outlook. Willing and able to learn new software.
  • Good attention to detail and numeracy skills.
  • Excellent communication skills with the ability to communicate at all levels
  • Commitment to high standards of customer service
  • Appreciation of cultural sensitivities, and empathy with international students
