Job Description

Key Responsibilities of a Dental Receptionist:

  • Providing a high level of customer-focused service on telephone and in person in a compassionate and professional manner
  • Encouraging referrals and new patients
  • Attending and participating in practice meetings
  • Welcoming the patients and visitors to the practice and recording the attendance using the dental software/ visitors' book
  • Direct and escort patients to the appropriate area
  • Promptly deal with patient enquiries to a high level according to practice policies and protocols to ensure maximum utilization of new patient appointments
  • Implementing recall system to ensure re-attendance of the maximum number of patients monthly
  • Reviewing the diary to follow-up patients who cancel, miss an appointment, whilst ensuring courtesy reminders are sent about upcoming appointments
  • Ensuring patient records and personal data are processed in accordance with the Data Protection Act, maintaining confidentiality and making sure records are available for each clinical session
  • Completing administration tasks as directed by line manager, including patient trackers, manual banking reports, invoicing and receipting etc.
  • Ensuring the reception and public areas are clean, tidy, and well presented at all times to create a warm and welcoming environment
  • Managing immediate adherence to appointment times, and informing patients of any delay

Required Knowledge, Skills, and Abilities
  • You will have proven front of house Reception experience, ideally within a dental or healthcare setting, although this is not essential.
  • Motivated, organized and a good communicator who thrives upon maintaining good standards
  • Great at offering a warm and welcoming environment to patients and visitors
  • Can work collaboratively with all colleagues and the wider business
  • A drive to constantly deliver and improve the patient journey in line with the company's visions and values
  • The ability to be flexible in your duties and perform other duties as necessary for the efficient operation of the practice as required
