Job Description

To assist in the provision of administrative support for the People and Operations Team within the University, under the direction of the Employment Services Officers and supporting in the day to day delivery and provision of services that support the business to hire, appoint, onboard and support employees through the employee lifecycle.
Key responsibilities, accountabilities or duties

  1. Able to professionally and confidently respond to queries and requests for information from a variety of people, including staff, managers, colleagues and students (this may be in person, over the telephone or in writing)
  2. Clearing, organizing and monitoring multiple cases within our Outlook inbox's, helping the teams to keep up to date with enquiries and respond in accordance with our Service Level Agreements (SLA's)
  3. Triage of Casual Worker paperwork, ensuring the details within the forms are correct and that these are processed in a timely way for Payroll deadlines
  4. Organizing and filing of Occupational Health returns for new appointments
  5. Organizing and filing of ATAS Certificates for new appointments
  6. Process IT access for new appointments & extensions
  7. Booking in and conducting Right to Work checks (RTW) according government guidelines
  8. General housekeeping for Recruitment, ensuring all recruiting documentation is in order on the system and that the Recruiting Manager has uploaded all details relevant to their recruitment after interviews and once an appointment has been made on Jobtrain (which is our recruitment system for the University)
  9. At all times to work with professionalism and ensure our customers and colleagues are treated with respect and to foster a culture of diligence and accountability, courtesy, flexibility and peer support across all our Services
  10. Attend team huddles to keep up to date with operational changes and take responsibility for anything which could affect your daily work and your deadlines
  11. Support our colleagues on the Reception team as and when required, dealing with enquiries from our customers, staff and students
  12. Help us maintain all HR systems and spreadsheets
