Job Description
In this role you will be required to provide clerical, administrative and business support to teams and functions within the business to support the delivery of successful tenders and projects. This will entail working across multiple functions or Projects as demand requires. The role requires high levels of organizational skills, excellent planning and self-discipline, a positive and pro-active approach, excellent attention to detail and the ability to be agile and flexible towards competing demands and requirements. As part of a functional team, completion of work will be across all areas and will flex up and down between Projects and functions and therefore it is critical to have the ability to flex with these often-changing requirements. The role is part of the High-Performance Series Bronze level.
Responsibilities:
- To provide clerical and administrative support to the Business function/ Project Teams
- Manage any “TEAMS” pages (collaborative working portal) for a function or project including associated SharePoint site
- Support the production of management and tender/project reports as required using various tools
- Become a Champion and proficient in software tools such as engineering drawing management systems, numerous Microsoft365 packages and document management databases
- Manage reporting calendars and aid the efficient running of the function or project via proactive engagement of team members to ensure reporting requirements are done on time. Review reports for errors as competent to do so
- Document receipt and issue in line with contractual obligations for issue to the customer, project team members and sub-contractors where necessary
- Make travel arrangements as required (flights, trains, car hire, hotels, etc.)
- Arrange meetings including sending outlook invitations, booking rooms, refreshments, equipment, etc.
- Arrange visitor passes and visitor car park spaces for customers, etc.
- Arrange team events including offsite workshops and team building events
- Assistance with presentation material using mainly PowerPoint
- Generate purchase requisitions
- Perform general clerical duties to include but not limited to: photocopying, scanning, faxing, mailing, filing, PPE, etc.
- Stationery and PPE ordering
- 3rd party worker Purchase Order management
- IT equipment / management (super user)
- If required at some point Rota participation in reception duties including management of post
