Job Description
To ensure that all clients are provided with a courteous and friendly service and to be able to manage incoming and outgoing post, telephone calls and emails whilst also liaising with internal managers and assisting with daily administrative duties.
Core duties and responsibilities:
- To act as the first point of contact for general reception queries, ensuring all procedures are followed.
- Using a Telephone system to answer calls and transfer to the correct extension number in a professional and timely manner
- To pack and organize all domestic and international collections/deliveries/sample requests
- To sort, organize and frank the post
- To scan all required documents onto the system and archive delivery notes from the warehouse
- Archiving and organizing paperwork to secure shredding of all relevant documents
- To provide refreshments to all visitors and guests
- To ensure all areas of the building are kept clean
- Printing and posting of invoices
- Manage the stationary and office consumables
- Assist with the showroom
- Oversee the car park and electronic fob system
- Liaising with external contractors in relation to the office maintenance
