Job Description

You will be required to provide a high quality, customer focused service with strong attention to detail and accuracy. Additionally, excellent communication skills will assist in maintaining regular contact with all grades of doctors, managers and wider stakeholders.
You will be doing the on boarding for new starter doctors i.e. ensuring that all compliance checks are completed prior to them starting in the Trust. You will assist with placing adverts and the recruitment process for non-training grade doctors. The post holder will support the Medical HR team in all operational duties relating to the employee life cycle for all grades of doctors until that employment ends.

General responsibilities

  • Provide assistance to colleagues in the Medical HR Administrative team as and when required and provide cover during period of absences.
  • Attend the monthly junior doctors’ induction.
  • Attend and participate in team meetings.
  • To assist with answering the telephones, responding to routine queries, taking messages and passing them on to the relevant colleagues.
  • Ensure confidentiality of records and personal information at all times in accordance with Trust policy.
  • Maintain excellent customer/client relations with members of the Trust and external organizations.
  • Ensure a professional and welcoming office environment
  • To answer and direct calls to the relevant service, dealing with potential candidates in a helpful and efficient manner.
  • Contacting candidates on returning documentation to the Medical HR Administration team in order to maintain an efficient recruitment process.
  • Assisting with the management of the Medical HR Administrative inbox, responding to queries and directing messages to colleagues where appropriate.
  • Maintain all employee folders, including all relevant and necessary information in order for audits to be successfully carried out.
  • To assist with coding and inputting new starter information, as well as changes and leavers onto the ESR system in a timely manner, meeting the monthly payroll deadlines and ensuring high levels of accuracy.
  • Draft offers letters, work schedules and contracts of employment in an accurate and timely manner.
  • Send reminders to staff/managers re: contract fixed term expiry, professional registration expiry and work permit expiry ensuring that these are renewed and updated on the ESR system.
  • Input doctors onto Allocate exception reporting system and create logins.
  • Draft and send employment letters as and when required.
