Job Description

They currently work 2 days a week in the office as a minimum with flexibility when required. It will be expected for you to complete a short induction / training period on-site initially full time.

You will be supporting the Head of Department and academic staff in the Learning, Communication and Science department. This role reports to the Project and Divisional Administration Manager, there are a team of Departmental Administrator's that support each of the departments within the School of Health Sciences, so lots of teamwork and support.

Duties:

  • PA/Administration Support - provide pro-active and high-quality administrative support to the Divisional Lead and other senior staff within the Division, including diary and meetings management
  • Resourcing/Timetabling - To support the Divisional Lead or nominated Programme Director in the management of programmes and resourcing and ensuring that data entry is completed for all programmes in a timely manner by working closely with the relevant Timetabling Officer
  • Human Resources - Working closely with the Divisional Lead and HR with academic staff recruitment. - Provide support for interview panels including arranging room bookings, catering and logistics, liaising with candidates, collection of references, checking of passports and coordination of candidates between presentations and panels on the day.
  • Finance - Support the purchasing and financial processes for the Division ensuring University/School purchasing procedures are followed, to include: raising Purchase Orders (electronic requisitions), processing invoices for payment, assistance with staff expense claim queries and responsibility for and making purchases on a Corporate Credit Card.
  • Marketing - Ensure website is kept up-to-date in respect of staff profiles and research information

Required Knowledge, Skills, and Abilities

Seeking previous administrative experience, good organizational skills and some experience of finance administration would be a great advantage.
