Job Description

This role is responsible for liaising with the Team Coordinator with the day-to-day admin tasks to provide effect delivery in the administration for the team.

The purpose of this role is to make a difference to our business and teams by providing support to their designated Project Leaders and project teams whilst administering the management of Quality Management Systems across the office.

The person is responsible for liaising with engineering staff, Project Leaders and other support staff on a day to day basis to assist and work with the support team and other sections where necessary in order to service our clients.

A high level of verbal and written communication skills is essential for this role as is a positive and proactive approach to work.

Key Challenges:

  • Dealing directly with high level, urgent and highly confidential issues
  • Ability to confidently and enthusiastically take direction from senior staff, managers and several different management reporting lines
  • Working autonomously and taking the initiative to drive issues to a conclusion
  • Ability to priorities varied and conflicting demands to meet agreed standards and timelines and will escalate appropriately where required
  • Maintain documentation standards and details across all work undertaken
  • Manage expectations from a variety of internal and external stakeholders
  • Balance a broad range of administrative tasks in a timely manner
  • Ensuring our quality systems are implemented and maintained on all projects
  • Support involvement in projects so that work is completed efficiently whilst meeting client requirements
  • Liaising with Administration Manager, Management, colleagues and other business units regarding our matters
  • Support in the coordination of Management system audits within the office and overseeing the collation of documentation for our reviews.
  • Support in the maintenance of management system database which includes general system administration, document review, reporting, preparation of correspondence and presentations.

Required Knowledge, Skills, and Abilities
  • Minimum 2 years’ experience in an administrative assistant or project administration role
  • Relevant experience in providing administrative services
  • Well-developed keyboard and computer skills with an advanced working knowledge of Microsoft Office, internet and email applications
  • Familiarity with administering quality systems
  • Strong communication and interactive skills to enable professional interaction with a range of people including senior executives, other employees and clients
  • Ability to maintain confidentiality
  • High level organizational skills, focus and attention to detail are essential
  • Promotes a cohesive work and team environment. Demonstrates a proactive work ethic and helps team out with other related activities
  • Ability to maintain quality of output even under times of pressure
  • Adapts well to new situation and is calm in challenging situations
  • Ability to learn new NDY software applications quickly
  • Ability to exercise substantial initiative and high-level judgment and to work independently to meet objectives
