Job Description
The Facilities Administrator is responsible for supporting the Facilities Manager by providing day to day office management and performing clerical and administrative duties.
Your Day-to-Day:
- Maintain guest registration.
- Manage shipping logistics, incoming and outgoing post, registered post and couriers.
- Maintain catering contacts for meetings and training.
- Monitor, order and stock supplies in the cafeteria.
- Monitor, order and stock stationery supplies.
- Perform ad hoc projects, e.g., reservations for team lunches, company events, etc.
- Prepare Purchase Requests for Facilities services and goods.
- Invoice approvals.
- Facilities point of contact for other Bentley offices in the region.
- Maintain files, excel sheets and databases that track vendor purchases, services, contracts and maintenance as directed.
- For Bentley acquisitions, assist Facilities Manager when required with obtaining necessary invoices and contracts and preparing paperwork for address and name changes.
- In coordination with Facilities Manager, obtain quotes and approvals for facilities services. Oversee scheduling of work for such services.
- As directed by the Facilities Manager, monitor Office Works orders and invoices.
