Job Description

The role is part time, 22.5 hours a week site. We can be flexible around working hours though our preference would be for the role to be 5 days a week, with equal hours each day.

  • Diary management for the Director of Procurement
  • Arrange meetings for the Director of Procurement and the 4 other members of the Senior Leadership Team
  • Develop good external relationship with all members of the procurement team
  • Other duties to support the Business Co-ordination and smooth running of the Department
  • Maintain the departmental archive system
  • Assist in departmental HR procedures:
  • Assist the Director of Procurement with invoice and budget queries
  • Attend meetings, take minutes and maintain records as required
  • Deal with queries from staff, external agencies and trust employees
  • Update the Procurement website and Trust Procurement Intranet pages
  • Prepare internal and external presentations
  • Prepare departmental documents
  • Co-ordinate and record annual leave, sickness and staff absence
  • Ordering and recording receipt of office supplies
  • Update and maintain the departmental fire procedures policy
  • Meet and greet visitors to Gate House.
  • Deal with all incoming and outgoing post
  • Undertake filing, photocopying, binding and general clerical duties
  • Arrange training sessions as necessary
  • Maintain the office asset register for IT equipment, mobile phones etc. access passes
  • Request network logons for new starters. Log leavers onto the IT system
