To be the first point of contact for all placement related queries
To assist the Careers and Employability Placement Officers in researching and identifying new placement opportunities
To work collaboratively with GBS programme leaders, support staff, academic administration, and university partners to provide an update on student progression and placement status
Collating and sharing information about placement vacancies with the Careers and Employability Placement Officers
To assist and advice students on the placement application process (DBS, CVs, cover letters, online applications, interviews, assessments)
Contacting students and employers to finalize paperwork and to request relevant documents prior to the start of the student’s placement
To manage the shared email boxes for Careers and Placements and respond to any queries
To assist with creating and distributing the quarterly careers newsletter and fortnightly job bulletins
To assist with the production of marketing materials for the Careers Service including student testimonials
To maintain confidentiality in relation to GBS, to comply with GDPR legislation and ensure that due care is taken when sharing information with third parties
To support with the planning and organization of career events, employer talks and workshops
To undertake any other duties that may be required to meet the demands of the service and the role
Flexible in working hours to cover evening and weekend demands as necessary
Comply with GBS policies and procedures and maintain Health and Safety standards
Support and actively participate in the implementation of GBS equal opportunities polices
To undertake some travel between GBS campuses
To maintain up to date and accurate work placement and progression records throughout the year which will be used to contribute to the overall picture of the service level, and success of placement and progression achieved by GBS students.
Carrying out daily administrative duties e.g., student timesheets, updating the placement tracker and database, producing reports, contacting employers, creating student files
Undertaking regular monitoring of the status of student’s placement application and providing relevant advice to student
Maintaining regular contact with employers and students on placement, and bringing any issues and concerns to the attention of the Head of Careers, Employability and Enterprise
Tracking information about the students’ final progression destination and updating the database for reporting purposes
Scheduling team meetings, documenting and taking minutes
To proactively engage in group planning, training and development activities and initiatives
Required Knowledge, Skills, and Abilities
Further or Higher Education
Achieved a minimum of GCSEs grade C or above in Math and English (or equivalent)
Experience of working in an office environment
Ability to priorities work and working to deadlines with minimal supervision
Excellent planning and organizational skills and the ability to work under pressure
Excellent communication and interpersonal skills
Experience in managing information and updating records
The ability to develop and maintain key relationships with students and stakeholders
Intermediate IT skills and the ability to adapt quickly to new technology
The ability to handle difficult situations both robustly but also with tact and sensitivity
Excellent communication skills, both written and verbal
Excellent customer service skills and the ability to deliver a high level of service
Previous experience of working within a FE or HE environment, Careers Service, or Recruitment Service
Experience of working with adult learners or students
