Job Description

This position provides confidential administrative support to optimize the executive's time. Performs diverse and advanced administrative duties that includes complex calendar management, and balancing changing priorities while keeping an eye on the organizational goals. Represents the executive’s offices to internal and external groups with diplomacy and tact. Communicates with executive offices and management to gather/convey relevant information. Ability to exercise considerable discretion and independent judgment.

  • Calendar management (scheduling conference calls, telepresence meetings, etc) 
  • Prepare executive for daily schedule, assist in compiling and organizing documents and materials for meetings
  • Screen and respond to incoming calls, correspondence, and requests: forwarding and responding pro-actively as appropriate 
  • Accurately arrange complex, detailed and frequently changing travel plans and itineraries
  • Travel and expense processing 
  • Event planning (e.g. F2F meetings, assisting with all-hands calls, etc)
  • Handling technology and equipment issues 
  • Assisting with facilities management, visitor access
  • Assist with various administrative aspects of the department 
  • May assist other members of the leadership team when needed
  • Must be resourceful and able to work autonomously across a complex organization structure; professional and able to work well with people with different interpersonal styles

Required Knowledge, Skills, and Abilities
  • Must have prior or current work experience as an Executive Administrative Assistant or comparable level of experience 
  • Pro-active attitude with ability to stay focused and maximize time efficiently
  • Experience supporting an executive with demonstrated ability to manage multiple & competing priorities 
  • Ability to multi-task in an urgent and deadline-driven environment
  • Excellent attention to detail and organizational skills. Accuracy/quality control – must demonstrate accuracy and thoroughness 
  • Ability to work independently, multi–task, manage time wisely; handle confidential and sensitive material with highest degree of integrity
  • Strong executive presence; superior interpersonal communications skills 
  • Demonstrated ability to interact with senior level executives
  • MS Office Products (Outlook, Word, Excel, PowerPoint and Visio). Must be proficient with these programs.
