Job Description

You should be an experienced and immaculately presented individual who enjoys working independently but also as part of a job share team. You will also be enthusiastic and enjoy undertaking some concierge and initiatives to help build a real sense of community in the building and increase enjoyment in the work place.

The role also supports the building manager who works on site. You will provide a front of house reception service, with additional responsibilities:

Reception responsibilities

  • Meeting and greeting all visitors to the building to ensure a warm welcome
  • Manage reception sign-in processes 
  • Ensuring the reception area always looks pristine and welcoming
  • Manage the casual lounge area adjacent to reception to ensure it remains presentable and replenish consumables as required
  • Managing deliveries - including couriers and post
  • Assist with the management of contractors and ensure any maintenance issues are reported and managed to resolution
  • If applicable, you will support the sales and leasing agents by ensuring any vacant space is looking pristine and provide a hospitable welcome to potential new occupiers
  • General Administration as a support to the Building Manager as required
  • Work as a team with the Building Manager, Security and Cleaning services to ensure the building always looks pristine and well presented – taking pride in the building
  • You will produce a weekly report for key stakeholders
  • Concierge/Added value responsibilities
  • You will develop a good understanding of the local area and develop a local amenities information file 
  • You will work with your job share receptionist to introduce concierge or initiatives (freebies, activities, discounts) which will appeal to tenants and which are aimed at improving their enjoyment of their working environment
  • You will reach out to the local community to find ways of supporting and collaborating with local businesses
  • When permitted – activities may include weekly exercise classes – taking advantage of a wellness suite in the basement, which you will help to promote.
  • You will work collaboratively with the reception team in the adjacent building to promote all activities and drive participation
  • You will produce an e: newsletter to include local news and any concierge or initiatives you have organized – to drive interest

The hours and salary

  • Part time - Monday, Tuesday 8.30am – 5.30pm and Wednesday 8.30am – 1.00pm

Required Knowledge, Skills, and Abilities
  • You will be personable and proactive with a confident manner and able to deliver impeccable customer service
  • Immaculately presented with proven experience in a similar role
  • You will be self-motivated and willing to undertake the added initiatives activities as part of the reception role
  • You should have excellent communication skills
  • You should be a competent PC user and confident using Microsoft Office and social media applications; and be willing to learn any in-house systems
  • You will be flexible to cover your job share for holidays and emergency sickness
  • You will be able to start by mid June
