Job Description
The role will be to provide reliable administration functions to help ensure the smooth day-to-day running of the team and the overall programme.
Your responsibilities will include:
- Providing administrative support to the stakeholder management team.
- Being the team champion for completing and updating project systems such as project tracker, Engage, document control/management, client record management (CRM) and etc.
- Arranging and coordinating meetings with internal colleagues and external stakeholders, collate and issue agendas and ensure minutes of all meetings are captured.
- Creating and managing team calendar for key activities such as annual, 1/4ly and mid-year appraisals, reporting, compliance training etc. coordinating, chasing and updating on completion.
- Ensuring job descriptions are kept updated input.
- Ensuring team competency matrix reflects content of job with line manager descriptions.
- Coordinating and overseeing new team staff onboarding and induction arrangements.
- Collating information for use by the team in reporting, presentations and briefing notes.
- Helping facilitate internal and external assurance reviews of the team's functional activities.
- Providing support for team members on use of systems.
- Coordinating with other Mace Dragados team administrators as necessary to ensure consistency of approach.
- Undertaking ad hoc task and special projects as necessary to support the team.
Required Knowledge, Skills, and Abilities
You have a GCSE qualification which includes English and Maths subjects. You have a proven background in administration ideally in a similar environment. You are proficient in Microsoft suite/software and have excellent communication skills. You have knowledge of consenting process is a benefit to this role.
