Job Description
  • Add meetings to prospect tracker and intermediary diary
  • Arrange social events for the team
  • Ensuring the CEO is on time for meetings
  • Printing/scanning/organizing documents using DPC (Document Procurement Centre)
  • Help the PA coordinator with PA meetings, social events and birthdays
  • Help in executing floor wide initiatives
  • Diary management - organizing meetings, calls and booking restaurants
  • Being aware of potential meeting conflicts and differing time zones
  • Booking meeting rooms, catering, external venues etc.
  • Organizing international/domestic travel using our in-house travel provider
  • Arranging itineraries, visas, airport transfers, hotels etc
  • Collate and process expenses using Concur in a timely manner
  • Ensuring that all calls and oral communications are appropriately recorded and dealt with without delay
  • Liaising with clients, external companies, other teams and offices
  • Working closely with other secretaries in the direct team and across the wider division, provide cover and assist as directed

Required Knowledge, Skills, and Abilities
  • Good knowledge of Outlook, Microsoft Word, Excel and PowerPoint
  • Effective communication skills
  • Pro-active attitude with the ability to demonstrate initiative, attention to detail and reliability
  • Self-motivated, reliable with a flexible attitude
  • Ability to act with good judgment and common sense
  • Good team player
