Job Description
You sould be responsible for various administrative tasks, including but not limited to booking travel arrangements for senior leadership, arranging internal and external training days/meetings as well as arranging refreshments where needed. The Office Administrator would also provide cover for the Office Manager and Executive Assistant.
- Liaise with local venues and businesses to organize training days or large meetings
- Liaise with internal stakeholders and external companies to organize refreshments large and/or external meetings
- Co-ordinate taxis for external visitors when required
- Use the system to arrange travel for senior leadership.
- Research current COVID travel regulations/requirements, and book pre-travel COVID testing in a timely manner where required
- Purchase goods and services using the company purchasing system (Amici), and following established purchasing policies
- Build relationships with frequently used suppliers
- Monitor the corporate inbox, responding to queries or referring onwards as appropriate
- Co-ordinate a rolling programme of staff and new joiner lunches
- Manage conference bookings and colleagues’ attendance at awards functions
- Co-ordinate and collate internal communications
- Provide cover for the Office Manager during periods of absence
- Take minutes for the senior leadership team when required
- Support the People function with arranging the annual company conference
- Support the corporate functions with ad hoc administrative tasks
You will have a strong administrative background which will allow them to excel in this position. No previous biotech experience is necessary; however, this would be advantageous. You will be happy to roll up their sleeves and assist with a variety of duties and be fully flexible in their approach to work. They will enjoy reviewing processes and implementing changes that will make them more efficient. Highly organized and self-sufficient you will have excellent communication skills with a strong customer focus.
