Job Description
  • Use the course booking and payment software (and any other data management systems that may be adopted) to set up courses, enroll students (including external learners), arrange transfers between courses, process refunds, and any other course-related tasks as may be required. 
  • Lead (with the other courses administrators) on the administration of the Modern Languages courses.
  • Answer applicant, learner and colleagues’ queries in person, on the phone and by email. 
  • Assist in the creation and maintenance of class registers and timetables.
  • Create attendance and achievement certificates, either manually or through company. 
  • Support tutors in keeping registers for their classes.
  • Order textbooks and other tutor resources. 
  • Manage and update the online Language Exchange.
  • Manage and administer online fee payments and the Online Store, and process refunds.
  • Reception duty, on a Rota with other administrative staff, including using the software for building access, troubleshooting and liaising with Facilities Management, who look after the building. 
  • Assist with new staff induction, including the procurement of University cards and arranging access to IT systems.
  • Provide basic IT support to staff across the Language Centre; troubleshoot and direct unresolved problems to IT Services as appropriate. 
  • Assist with printers/scanners/copiers, including demonstrating the equipment to new staff, setting up new staff to use the machines, refilling paper and toner, and troubleshooting.
  • Support the rental of the building to external clients, liaising with the University events team who run this function.
  • Organize staff and visitor hospitality, including lunches.

Required Knowledge, Skills, and Abilities
  • Experience of working within the University or Higher Education Administration 
  • Significant administrative experience.
  • A strong customer-service focus and professional manner, with demonstrable experience of dealing with customers in person and by phone/email. 
  • Experience of financial administration, with a high standard of numeracy.
  • Excellent skills in office IT systems, especially Word, Excel, Outlook and Teams. 
  • Experience of using databases and content management systems, and a willingness to learn new applications as required.
