Job Description

You will deal with highly confidential information, provide infrastructure assistance to the whole team, including support in meetings to ensure actions are recorded accurately. The post holder will also be responsible for accurate data recording with regard to financial aspects of our operations.

Responsibilities

  • To achieve a comprehensive understanding of company and specifically the directorate of company along with the roles and responsibilities of the senior leadership team.
  • Provide administrative support to the senior leadership team - plan, coordinate and organize diaries, travel, accommodation and schedules, including meetings and conferences with internal and external stakeholders; working across time-zones when necessary.
  • To deal with matters with discretion and complete confidentiality.
  • Communicate throughout the team to arrange team meetings, draft monthly team meeting agendas, management reports and record straightforward minutes and circulate comprehensive action notes.
  • Responsible for identifying and booking conference Centre’s and facilities.
  • Manage long-haul travel bookings and accommodation arrangements for in-country recruitment campaigns.
  • Working effectively as part of a team in a busy office

Required Knowledge, Skills, and Abilities
  • Educated to A level standard or equivalent experience
  • RSA typing/transcription or equivalent qualification/experience (typing speed of 60 wpm)
  • Previous experience of working in a demanding customer focused environment
  • Flexible approach to the changing needs of the department
  • Advanced skills and knowledge of Microsoft Office applications, specifically Excel, PowerPoint, Outlook and Word
  • Demonstrable experience as a senior secretary or personal assistant including diary management
