Job Description
  • Act as first point of contact for enquiries online, by telephone or in person, interpreting university and external regulations as necessary
  • Assist in producing and maintaining a number of sources of information on the website and in publications
  • Make administrative arrangements for training and events including room booking, catering, travel and accommodation
  • Help to develop streamlined and efficient office procedures and systems
  • Organize mailings for training and events, maintain mailing lists
  • Assist in the collation and circulation of data
  • Organization of programme specific meetings, including preparing paperwork and agendas, securing a venue and inviting attendees (both internal and external to the University). Minute taking at meetings when required.
  • You will support the work of the Programme Manager and will be responsible for:
  • Generating all purchase orders and invoices using Oracle R12 and for tracking all payments
  • Ensuring all payments are received in a timely manner and chasing for the same on behalf of the programme
  • Take a pro-active approach to progressing financial transactions, e.g. ensuring that purchase orders, payment requests, expenses claims and repeat casual payments are moved through the system promptly, gaining the appropriate authorizations, so that high service is maintained.
  • Purchasing goods and services as required by the Directors and/or Programme Manager
  • Processing expense claims from students and academics
  • Liaise with University staff and external bodies as appropriate, in person, in writing or by telephone
  • Acting as first point of contact for all enquiries from prospective students
  • Uploading applications to Sharepoint for evaluation by admissions panels and recording decisions for shortlisting
  • Assisting the Programme Manager with the pilot Anonymisation of Data enterprise by managing the redaction of data process for applications
  • Organization of interview panels and timetables
  • Updating e-Vision with offers, rejects, waitlist candidates and informing applicants of the results
  • Liaising with accepted candidates to ensure outstanding conditions of admission are met

Required Knowledge, Skills, and Abilities
  • Proven Academic administrative experience
  • Excellent IT skills (particularly Word, Excel, Outlook, Zoom and Teams)
  • Experience of web editing
