Job Description

Arranging accommodation and travel (both overseas and UK) for the project coordinators for conferences they attend during the year. Organize conferences both on site and at conference venues within the UK and carry out tasks comprising some or all of the following:

  • Web updates
  • Source/book venue
  • Monitoring registrations
  • Booking catering
  • Preparing conference packs/badges/signs
  • Attend and support workshops as required
  • Collate and track finances, administer invoices and licenses
  • Supporting other members of the Administration Team particularly covering Annual Leave
  • Act as liaison and contact point for scientific staff
  • Acting as the first point of contact with internal staff, visitors and collaborators
  • Available to travel/work in the UK and overseas for meetings and events
  • Updating works records with purchase order and receipt details, handling workflows to ensure invoices are released for payment in a timely manner.

Required Knowledge, Skills, and Abilities
  • Have 5 GCSE’s including English and Math or relevant experience of working at this level
  • You will need to be highly organized, with an accurate eye for detail and the ability to handle a busy workload.
  • Be an experienced Administrator, with dedicated commercial exposure.
  • Have good verbal and written communication skills, be flexible, have good social skills and able to meet deadlines
  • Able to priorities your tasks successfully and demonstrate a proficient understanding of the MS Office suite. (Word, Outlook and Excel)
  • Degree or Business/Management/Admin related qualification
  • Experience of working with senior staff
  • Experience organizing and running events of all sizes
  • Confidence to act independently and decisively, including being able to judge when to refer elsewhere for advice
  • Discrete and diplomatic
  • Ability to priorities, well-motivated and capable of working under pressure
  • Excellent communications skills both written and oral
  • Ability and willingness to travel to other sites / support workshops and events which may include overnight away from home
  • A positive ‘can do attitude’
  • Excellent organizational and time management skills
  • Demonstrate prior experience in organizing events
