Using (word processing) to prepare correspondence and documents as directed by his/her Principal.
To properly prepare mail for dispatch.
To photocopy documents as required.
To draft straight forward legal documents under his/her Principals supervision.
To open new client files accurately and speedily in accordance with file procedures.
To deal accurately with filing, storage and retrieval of client files in accordance with office procedures.
To answer any unattended telephone in her room, if practicable.
To attend to clients both on the telephone and in person. To take and record accurately any messages and pass the same on to the appropriate person without unnecessary delay.
To make appointments, arrange meetings and to maintain an up to date diary.
To prepare and serve refreshments as and when required to clients and as requested to do so by the Principal.
To prepare the Conference Room for meetings as necessary, and for the tidying and clearance of the room at the end of the meetings.
To learn the operation of the switchboard and provide support to the receptionist as required.
To provide support to the junior typists and other secretaries as required.
To contribute towards training and self-development, and to undertake any specific training as and when required.
To ensure the confidentiality and security of all Practice and client's documentation and information.
To undertake any other duties which from time to time may reasonably be allocated.
Required Knowledge, Skills, and Abilities
Sound word processing and audio-typing skills together with appropriate administrative skills.
