Job Description

You are responsible for monitoring, controlling and managing multi-country, multi-service outsourcing arrangements delivered through the firm. 

Responsibilities

  • Reviewing the tracking tool, checking on a daily basis that all deliverables are on track and liaising with member firms and clients to chase and request for updates.
  • Proactively monitor upcoming deadlines and anticipate when intervention is required. 
  • Assist with the preparation of reports for meetings with clients.
  • Help the coordinator team set up and manage the tracking tool as administrator, prepare data entry, and ensure the resolution of system issues.
  • Assist with the management of client mailboxes, incoming e-mails and responses to clients and international teams in a timely manner.
  • Deal with day to day queries escalating more complex queries to coordinator or manager.
  • Responsible for arranging meetings, booking meeting rooms, issuing meeting invites, taking notes and collating action points.
  • Assist with recording of issues and escalating to coordinator for discussion with the client.
  • Help the coordinator manage billing schedules, reconcile invoices and liaise with client and member firms on invoice queries.
  • Assist with engagement letter templates and liaison with internal teams and clients on queries.
  • Assist managers with issue resolution.
  • Ad-hoc administration for the wider team.

Required Knowledge, Skills, and Abilities
  • Previous experience working in an office environment
  • Hands on approach and practical outlook on problem solving
  • Attention to detail
  • Excellent communication and presentation skills
  • Ability to analyze and quickly understand processes
  • Proven ability to meet deadlines and work under pressure
  • Demonstrate strong planning and organizational skills with ability to priorities
  • Ability to multi task and manage a high volume of incoming e-mails
  • Excellent interpersonal skills to manage both internal and external relationships
  • Ability to work within a motivated and fast paced team
  • Good team player, process orientated with a strong focus on delivery
  • Previous experience working in project management or a project support role
  • Experience of working within the finance sector, accounting or compliance environments
  • Cultural awareness, experience in dealing with international clients and overseas offices
  • Language skills
  • Advanced excel skills
