Job Description

This is a key role within a small team to ensure all purchasing requirements are met including researching suppliers, processing orders, and managing deliveries to support the R&D teams. You will also provide general office administrative support to a lively team and assist the Facilities Manager as required.

  • Place all orders from authorized purchase requisitions and raise orders in the accounting system, ensuring best terms are achieved; 
  • Ensure that the kitchens and stationery supplies are maintained;
  • Liaise with suppliers to ensure the timely receipt of all goods; 
  • When required source alternative suppliers;
  • Track receipt of goods delivered and update the accounting system; 
  • Manage all deliveries ensuring they are dealt with correctly and efficiently;
  • Answer all incoming calls and route them correctly; 
  • Manage the incoming and outgoing post and couriers, ensuring that all documents are distributed to the appropriate individuals;
  • Maintain the stock of laptops and peripherals to ensure they are appropriately configured for, & delivered to, new starters. Provide replacements as required for existing staff;
  • Maintain the IT asset records for laptops and associated equipment; 
  • Manage some company shared mailboxes, ensuring incoming enquires are responded to or forwarded to the correct person;
  • Provide support to the facilities manager as required.

Required Knowledge, Skills, and Abilities
  • Experience of purchasing & a basic understanding of finance systems; 
  • Proven experience using a facilities web-based maintenance tracking system
  • Competent in Office 365 products, especially Excel & Word; 
  • Fluent in English and numerate;
  • Excellent communication skills; 
  • Diligent and organized;
  • Track record of working in a small team; 
  • Able to complete manual handling tasks and distributing deliveries throughout the building;
  • Basic knowledge of building services and facilities is desirable.
