Job Description

We are delighted to be recruiting on behalf of a prestigious education facility in Surrey for a PA to support the leadership team and provide comprehensive and proactive secretarial and administrative tasks to a high level. The post holder will manage a range of logistical challenges and be able to priorities their workload, whilst handling sensitive information with discretion.

Key Responsibilities

  • Manage the Bursar’s busy diary, ensuring meetings are arranged ensuring the most effective use of time.
  • Act as the first point of contact for to the Bursar’s office/Business Office.
  • Organize meetings, booking appropriate rooms and/or venues. Ensuring the required equipment, catering, invitations, agendas and any reading materials are prepared well in advance.
  • Attend meetings, taking accurate notes and action points and distributing agreed minutes promptly
  • Proofread documentation and letters
  • Coordinate the Bursar’s files, ensuring effective and accurate filing of documentation both electronic and paper systems.
  • Manage a variety of annual administrative tasks, providing reminders, as necessary.
  • Provide administrative support to the Deputy Bursar in relation to HR

  • Excellent organizational skills with a high level of attention to detail
  • Professional and friendly demeanor
  • Can demonstrate and has proven experience of dealing with sensitive situations with integrity, tact and diplomacy
  • Flexibility, enthusiasm and commitment
  • Excellent written and spoken English
  • Excellent IT skills
  • Strong organizational skills, able to multi-task, meet deadlines and plan/prepare ahead
  • Ability to write, proofread effectively and draft communications for others
  • Substantial administrative experience, including diary management
  • Excellent interpersonal and communication skills, with the ability to relate well to a diverse range of people
