Job Description
  • Communicate effectively with internal and external customers, promoting a positive image of the Council. Take clear and accurate messages / bookings. Resolve problems efficiently, within scope of role, escalating to line manager as required. Relevant, accurate, understandable and timely information is provided.
  • Organize, record, distribute and process received documents, applications, correspondence etc correctly using the appropriate process / system.
  • Administrative tasks such as photocopying, faxing, shredding, enveloping, franking etc are completed to required standards and productivity.
  • Collate, verify and prepare data for analysis. Process, check and interpret data following standard procedures. Identify and action any potential errors in data or outputs. Accurate, complete and meaningful information is recorded in the correct format.
  • Create documents, reports, correspondence etc from the information provided, using standard formats and software.
  • Schedule / arrange meetings and events as required.
  • Provide support to others during / after meetings, e.g., taking minutes and chasing actions.
  • Handle petty cash / payments securely according to defined procedures.
  • Manage diaries and travel arrangements as required to enable effective use of time by those supported.
  • Identify areas where improvements could be made within own role / team and make recommendations.
  • Co-operate with and support colleagues.
  • Act as a Cost Centre Administrator accurately completing financial transactions such as: raising and payment of purchase orders, limit orders, invoices, recharges and journal transactions, using the SAP financial system.
  • Ensure equipment and materials are available to colleagues when required and stock records are correctly maintained. Income is recorded and reconciled accurately.
  • Accept and check delivery of goods and completion of services before processing invoices for payment. Store / distribute supplies correctly.
  • Review own work to check for accuracy and completeness.
  • Process claims and expenses for casual staff.
  • Manage reception duties and act as first point of contact for visitors.

Required Knowledge, Skills, and Abilities

You will be educated to GCSE / NVQ2 standard or equivalent. The role is customer-facing, and the post holder is required to speak to members of the public, the ability to converse at ease with customers and provide advice in accurate spoken English is essential for the post. You will have sensitivity and empathy to build trusting and supportive relationships with families and skills to influence, persuade and motivate them to achieve agreed goals and targets.
