Job Description
  • Produce quarterly management accounts and financial reports for the CEO and the Board;
  • Manage our accounting and book-keeping supplier, including ensuring paperwork and information is provided in a timely manner each month and quality checking the book-keeper's work in our book-keeping software (Currently QuickBooks).
  • Management of monthly financial ledger including monthly profit and loss and balance sheet reconciliations.
  • Monthly cash flow analysis and forecasting as necessary.
  • Preparation of financial information for funding bids and reports (annually or bi-annually) for multiple grant funders (trusts, foundations, Councils, etc) in conjunction with CEO and Partnership Development Manager;
  • Close liaison with auditors in the preparation of draft and annual statutory accounts.
  • Overseeing tax and regulatory and compliance issues, including Gift Aid reclaim.
  • Develop and document business processes and accounting policies with the CEO and management to maintain and strengthen internal controls.
  • Work with the trustees to ensuring Charities Commission and Companies House filings are made in a timely manner to include annual returns and information relevant for filing.
  • Management of bank accounts and overseeing any investments.
  • To maintain and streamline our accounting system to ensure it is fit for purpose;
  • Liaise with our payroll provider to manage our payroll, and pension's provision.
  • Work with the Treasurer to manage the monthly financial processing, including overseeing employee expense claims, and paying invoices and salaries. 
  • Manage the relationship with our landlord, to ensure the efficient running of our premises, and managing the rental contracts;
  • Manage our administrative systems to ensure the efficient running of the office;
  • Managing the relationship with our outsourced IT provider to ensure requirements are met and that the servicing and maintenance of our IT hardware and systems are up-to-date;
  • Support the recruitment and induction processes, including ensuring new starters have access to systems and leavers are removed.
  • Ensure the maintenance of contracts and assets register.
  • Provide administrative support for the CEO, eg reviewing contracts and insurance policies, taking minutes of Finance Committee or Management team meetings, etc. 
  • Work with the CEO and the Management Team, as and when, appropriate to advise on areas of strategic planning and budgeting from a financial perspective;
  • Support the development of the annual budget based on strategic priorities, trends and projections, and assist the Management Team in developing a strategic business plan to maintain the financial health and sustainability of the organization;
  • Be the main contact for the Board on financial matters, including financial reporting;
  • Line manage and supervise the Administration Assistant, providing performance management support and setting clear guidelines and expectations regarding the role, as well as day-to-day direction to ensure a high performance.
  • Manage and supervise the outsourced accountancy and book-keeping function.
  • Accept personal responsibility for own learning and professional development.
  • Provide leadership, including by modelling positive behaviors to the staff team;
  • Maintain a basic knowledge and understanding of issues affecting refugees and asylum-seekers, and of mental health issues;
  • To adhere to the organization’s data protection, confidentiality, health and safety, and safeguarding children and vulnerable adults policies.
  • To undertake any other duties as may be required from time to time, which are commensurate with the nature of the post.

Required Knowledge, Skills, and Abilities
  • AAT qualified, or higher, with at least five years’ experience working in an account management role.
  • Experience of managing financial accounting systems, preferably QuickBooks.
  • Well-developed communications and interpersonal skills with an ability to build strong relationships and working partnerships with other organizations, suppliers, co-workers and trustees.
  • Positive, pro-active approach, with an ability to problem-solve and the drive to develop and implement new systems and processes as necessary.
  • Excellent attention to detail and accuracy in all work with well-developed organizational and administrative ability, including proven success in setting up systems, keeping records and delivering financial reports to deadline and to a high standard;
  • Proactive in staying up to date with financial regulations, charity financial issues and best practice and applying knowledge appropriately to support the development of the organization;
  • Is discreet, trustworthy and respects confidentiality.
