Job Description
  • Be responsible for all patient notes within the ward ensuring that they are in a serviceable condition and results, discharge summaries and other documentation is reviewed by the appropriate doctor and filed appropriately
  • Ensure case notes and other documents as may be required are available on the ward, especially for ward rounds.
  • Ensure all follow-up appointments are made and patients notified.
  • Ensure that patient details are accurate on PAS and updated as required.
  • Collect and distribute post for Starfish and Safari to ward staff and return mail to post room at the end of day.
  • Assist in the contacting of doctors and other healthcare professionals as requested by ward staff
  • To ensure a welcoming and efficient service is offered at all times the patients and relatives
  • Flexible approach towards working within a team environment with ward clerks on all units.
  • To maintain a good liaison with the ward team and other departments.
  • Dealing with telephone enquiries and booking of procedures
  • Order ward stationery ensuring there are sufficient stocks at all times
  • Read communication book and diary and take action as necessary
  • Undertake relevant duties delegated to you by the ward sister and administrator.
  • Ensure that patient confidentiality is maintained at all times
  • Undertake mandatory training as per trust policy. E.g. moving and handling, fire safety.

Required Knowledge, Skills, and Abilities

You would be expected to demonstrate key skills such as excellent communication, good interpersonal skills, ability to work with a team and a positive attitude. The role is an integral part of our team that provides administrative support for our clinical staffs. It requires basic computer knowledge and skills.It also involves administration roles such as tracking the patients on their journey through the ward, requesting and tracking records on Electronic Patient recording System, filing notes, making sure that the electronic systems are up to date with the relevant patient information. Also ordering some supplies as needed for the functioning of the ward. You would also be expected to deal with telephone enquires and assisting with booking of follow up appointment and visits on the ward. It is a good experience, and it provides an opportunity to work with members of a highly efficient multi-disciplinary team.
