Job Description

Key responsibilities

  • Manage outsourced facility and maintenance subcontractors
  • Ensure maintenance is carried out as needed or as scheduled
  • Maintain maintenance log
  • Making sure the office is prepared for subcontractors if needed
  • Manage reported facility/office issues
  • Manage reception & incoming visitors, guests, and subcontractors
  • Answer main phone line
  • Manage security passes and alarm codes
  • Office and kitchen consumables management & purchasing
  • Arranging travel and event bookings for staff
  • Preparing office for client meetings and events or other visitors - arrange catering
  • Liaising with staff and suppliers daily
  • Business cards
  • Support with IT issues as needed
  • Complete project reports
  • Manage invoices, bills & purchase ledger
  • Pay suppliers
  • Basic accounting tasks

To complete any other tasks as commensurate with the level and nature of the post as delegated by the line manager. This role is based on-site 5 days/week, 9:00 - 17:30

Required Knowledge, Skills, and Abilities
  • Previous experience managing an office environment, including subcontractor/ supplier management
  • Previous experience with reception or administrative tasks supporting business activities
  • Previous experience with accounting or other financial tasks (e.g. invoice processing)
  • Excellent English written/verbal communication skills
  • Strong numeracy skills with an eye for detail and ability to ensure accuracy of own work and of incoming documents/literature (including invoices)
  • Comfortable working with and adapting to new IT systems and software
  • Good interpersonal skills, with the ability to build effective relationships at all levels of the business.
  • An excellent team player, but equally comfortable working independently.
  • Approachable, seeks to understand and pro-actively support colleagues, with a willingness to learn
  • Ability to work on several tasks at any one time, priorities tasks and meet deadlines
  • Demonstrates sound judgment, takes ownership of a problem from start to finish with a pragmatic and logical approach to problem solving
  • Excellent organizational skills
  • Self-starter, responsive, acts as soon as issues get identified, proactive and confident
