Job Description
  • Manage diaries, scheduling appointments, meetings and video calls
  • Draft and prepare routine correspondence including emails, agendas, presentations and reports
  • Take minutes during meetings ensuring key actions and deliverables are noted
  • Preparation of meetings and events including coordination of meeting logistics (in-person and online), catering, meeting room set up, etc.
  • Organize travel (UK based) in line with Travel and Expense policy
  • Compile, prepare and process Board expenses and reconciliation, where needed
  • Assist with complex and confidential company information, demonstrating discretion, judgment, tact and diplomacy; treat all information as potentially confidential and/or proprietary
  • Respond to queries via telephone, email and hard copy; take ownership of any enquiries and ensure other issues are referred on to the appropriate person accurately
  • Ensure smooth running of the office, including supporting office inductions, Health & Safety covers/ checks and audits, break area set up and refreshment ordering and meeting room set up and stock (including stationery ordering).
  • Organize events at the office as needed to support a collaborative work environment.

Required Knowledge, Skills, and Abilities
  • At least 2 years' experience in a similar role with demonstrated administrative skills
  • Proficient with Microsoft Office suite - Word (advanced), Excel, PowerPoint (advanced), Outlook (advanced)
  • Experience of video conferencing and expense systems - Zoom and Concur experience desirable
  • Highly organized with a proven ability to effectively priorities
  • Excellent oral and written communication skills
  • Takes initiative and ownership; manages and executes a variety of high-priority projects successfully with minimal direction
  • A strong team player with a positive, pragmatic approach
  • Desire to grow and take on own projects
  • Consistently aims for high standards of quality, with a high level of attention to detail
  • Demonstrates personal and professional integrity and behaves in accordance with company values
  • Full Driving license
  • Some UK travel and overnight stays may be required
  • Flexibility to be contactable outside standard working hours
