Job Description

You will be involved in supporting major projects in managing the auditable flow of information both internally and that issued to our clients. You will work closely with the project teams both locally and internationally to support the delivery of projects.
Main duties:

  • Develop document management procedure and processes that will facilitate effective capture, storage, control and delivery, of all formally released/issued documents and records.
  • Provide support to the project information manager in the implementation of common data environment best practices and/or development of processes to enhance project delivery
  • Provide support and manage workload within document control team
  • Ensure smooth and timely turnaround of project reviews and submittals
  • Effective use of client’s document control systems
  • Assist engineering teams in quality acceptance of deliverables and other submissions often working to tight deadlines
  • Ensure documentation procedures are adhered to and demonstrable for audit purposes
  • Maintain project-controlled documentation including document registers and change control registers
  • Liaise with documentation managers and controllers in external client organizations
  • Liaise with engineers, client, suppliers and third-party companies in all matters related to document management
  • Assist the project team in all matters related to document management
  • Review the programme and support the project teams with deadline reminders
  • Preparing weekly and monthly reports on deliverables

Required Knowledge, Skills, and Abilities
  • Experience in working on large engineering and construction projects (ideal – but not essential)
  • Understanding of engineering processes on multidisciplinary design and build contract
  • Experience in configuring and administering electronic document management systems
  • Familiar with common data environment principles
  • Ability to priorities and organize workload without supervision
  • Ability to operate both autonomously and as a part of a larger team
  • Ability to work in accordance with the applicable project procedure
  • Excellent IT Skills – Word/Excel/PowerPoint
  • Strong communication skills including writing reports and presenting
  • Ability to establish and maintain good working relationships with clients, stakeholders, colleagues and the supply chain
  • Ability to demonstrate a flexible approach to work
  • Flexibility to travel to client sites and other MM offices
