Job Description

The role will be office-based, fast paced, in a rapidly changing environment, and will require an experienced individual with confidence to own their areas of responsibility whilst acting as part of a broader administrative team. The role will provide flexible support across the organization and reports to the Director.

This is also a full-time role so you must be immediately available to work a full working week.

Your duties will include:

  • Meeting and greeting visitors including managing visitor passes and parking requirements
  • Supporting with incoming and outgoing office goods, including management of courier accounts
  • Supporting the day-to-day administration of in-house facilities
  • Proactive diary management to assist in the scheduling of meetings (telephone, video conferencing, and face to face) for Senior Members of the team
  • Booking and arranging travel, transport, and accommodation as required
  • Acting as part of a broader administrative team, providing flexible operational support across applicable Research, Development and Corporate/Operational teams
  • Supporting and helping to maintain and implement applicable company administrative process, databases, and filing systems
  • Providing co-ordination, and tracking compliance, for applicable company training activities
  • Providing onboarding procedure co-ordination
  • Any other ad-hoc administrative duties as required

Required Knowledge, Skills, and Abilities
  • Previous experience in an administrative role i.e. EA/PA, team assistant, office manager or similar.
  • Highly experienced with diary management, working across multiple calendars and time zones
  • Comfortable working with high volumes of work at a fast pace
  • Versatility, adaptability and ability to work under pressure
  • Excellent prioritization and organizational skills with great time management
  • An experienced and confident problem-solver who takes a proactive approach and knows when to seek advice
  • Ability to communicate across all levels of the business and create strong working relationships
  • Advanced IT skills in Microsoft Office (ideally experienced in using MSFT 365)
  • HR and/or Training experience advantageous though not essential
