Job Description
  • Schedule Board and Committee meetings, book venues, assist with travel plans, organise technology for meetings
  • Preparing agendas and Board papers for Board and Committee meetings
  • Taking minutes at Board and Committee meetings
  • Maintaining statutory registers, submitting filings to Companies House and maintaining companies in good administrative order
  • Manage all shareholder communications as first point of contact and maintain shareholder website and database
  • Process share transfers, ensuring all corporate legal documentation is completed correctly and registers updated and maintained
  • Manage the calculation of and administration of dividend payments
  • Manage the share bidding process, ensuring all legal administration is done accurately and to deadline
  • Transcribe and proofread all legal documents and arrange for signature where appropriate
  • Organize all legal filing
  • Responding to day-to-day queries and updating clients/other solicitors/customers/internal stakeholders/partners, where appropriate
  • Process invoices liaising with Purchase Ledger to ensure timely payment of vendors
  • Any other duties which from time to time as required within the department

Required Knowledge, Skills, and Abilities
  • 2+ year’s experience in a similar role with demonstrated administrative skills
  • Ability to work under pressure
  • Excellent time management and organizational skills
  • Ability to use own initiative
  • Effective and confident communicator (verbal and written)
  • Excellent attention to detail
  • Ability to work as part of a team
  • IT literate
  • Experience using case management system preferred but not essential
  • Company Secretariat experience highly desirable
