Job Description
  • Answering incoming calls and redirecting them accordingly, screening phone calls
  • Greeting visitors - monitor signing in and out system
  • Booking diaries, arranging appointments and updating records on databases
  • Mail sorting and distribution
  • Filing
  • Work alongside suppliers to gather quotes, process orders on the company’s computer system
  • Answering enquires in person, by phone and email
  • Admin - filing, photocopying, inputting data, word processing
  • Call handling both internally and externally ensuring they're distributed to the relevant person
  • Booking meeting rooms and ensuring they are maintained
  • Deal with any enquires and resolve any problems over the phone
  • Provide administrative support within the office
  • Conduct H&S checks
  • Collect reports for hire equipment
  • Site checks – first aid, site essentials, site procedures
  • Stock control- e.g. water and coffee machine supplies.

Experience:

  • receptionist: 1 year (Preferred)

Administrative Duties:

  • Scheduling
  • Carrying out requests from management as needed
  • Maintaining stock and ordering supplies
  • Answering emails and sorting post
  • Answering phone calls and transferring them as necessary
  • Managing website functions and social media
  • Greeting and welcoming visitors

Required Knowledge, Skills, and Abilities
Organization skills. Good communication skills. IT skills. Excellent customer service skills.
