Job Description

We are currently looking to recruit a very IT Savvy experienced Personal Assistant, Secretary, Executive Assistant, Office Manager who is a professional, organized and dependable individual to support the Directors of the business. This role requires an individual who can provide an excellent service to the successful running of the company in a range of areas and ensures discretion at all times. You will be based at our lovely new offices with free parking.

Responsibilities:

  • Performing a diverse range of executive level administrative duties including; managing calendars, composing correspondence, arranging travel plans and providing agenda and minutes for meetings.
  • Supporting the Board Meetings by creating the agendas and compiling the minutes and actions.
  • Attending internal meetings and reporting back
  • Ensuring the Directors meet all commitments and deadlines by keeping them informed of upcoming events.
  • Handling queries from people at all levels; including important visitors, fellow staff members and industry specialists.
  • Working with the HR Manager.
  • Liaising with other departments within the company to obtain any information or data required.
  • Carrying out projects or research to help compile reports and presentation materials.
  • The ideal candidate will be proactive, dedicated and a self-starter who can work independently. They must be well organized, efficient and willing to perform other tasks.

Required Knowledge, Skills, and Abilities
Significant previous experience in a Personal Assistant, Secretary, Executive PA, Office Manager environment. Competent with Microsoft Office Software, particularly Excel, Word and PowerPoint. A high level of confidentiality. Excellent interpersonal / communication skills including professional written communication. Excellent organizational skills - ability to multi-task is vital. Excellent attention to detail and accuracy. Ability to handle pressure and work to tight deadlines. Ability to create agendas and take comprehensive and professional minutes. Experience of event planning. Experience compiling board level reports. Bright outgoing personality. Ability to set up printers, load software etc.
