Job Description

The Business Support function supports the Service Quality Team, who work with vulnerable families in Portsmouth to facilitate best possible outcomes for the young people in their care. It is a very busy and a challenging role, for someone who enjoys working as part of a team and wants to do a worthwhile job

You will provide high quality administrative support within the Service Quality Team. The role plays a vital part in the administration and smooth-running of business processes throughout the service and in the support of practitioners in enabling them to undertake their duties in safeguarding vulnerable children in Portsmouth as well as supporting the service to achieve its statutory and corporate responsibilities.

Most work involves both written and oral communication to provide high quality customer care and the production of accurate and professional records, as well as the ability to multi-task and work well under pressure.

The role is to provide administrative support to the Independent Review Officers who work with Looked After Children and are required to oversee and scrutinise the Care Plan of the child/ young person and ensure that everyone who is involved in that child’s/ young person’s life fulfils his or her responsibilities.

Your duties will include many or all of the following:

  • Coordinating and sending invitations to meetings.
  • Printing, preparing and sending reports from meetings and conferences
  • Planning, organizing and scheduling meetings within required timescales
  • Entering data into caseload systems.
  • Dealing with queries via email and telephone, communicating with professionals and service users on a daily basis.
  • Managing diaries.
  • Dealing with all post and correspondence, including confidential information.
  • Supporting the preparation for Ofsted inspections and providing specialist administrative support to inspections.
  • Analyzing reports to ensure tasks are completed within timescales
  • Drafting letters to standard enquires.
