Job Description

You will work as part of a team under the general direction of the Europe Corporate Services Manager and assist them to drive the delivery of integrated and client focused corporate support across the region. You will:

  • Deliver a suite of corporate support services to ensure efficient and effective post operations
  • Deliver a suite of executive support services and manage communications with key stakeholders
  • Assist the region’s Corporate Services Manager in monitoring compliance with corporate policies, procedures, and standards, and drive consistent application across the region.

Support the Post Manager to effectively deliver the region’s business plan initiatives through the:

  • Provision of administrative support within a post including undertaking day-to-day tasks such as finance administration activities including procurement; preparing and processing payroll; onsite human resource assistance; information technology support; facilities and office support; property maintenance coordination, asset management and security administration support
  • Provision of executive support services such as: managing and maintaining their schedules, appointments and travel arrangements; receiving incoming calls and monitoring email correspondence; assist with the reconciliation of their corporate cards and assist with organising travel arrangements.
  • Managing the Post Manager’s communications, including coordinating meetings, preparing relevant documentation for those meetings, managing the flow of information and maintaining appropriate information management systems. This role also involves liaising and communicating as required with senior managers and staff at all levels and executives of external companies, industry and government bodies.
  • Support A Based staff and their families as they transition to and from the post and throughout their posting as required
  • Assist with the development and maintenance of the Business Continuity Plan
  • Assist with leasing and fitting out both residential and office property, when required
  • Co-operatively work as part of the region’s corporate support team to deliver efficient and effective services
  • Ensure consistent compliance with our policies and procedures, Delegations, the APS Act, and local labour laws within the region
  • Work with the Corporate Services Manager on risk management plans to identify risks and assist with the implementation of mitigating strategies
  • Work in partnership with the broader Corporate Services Division, to assist with the delivery of consistent, efficient and effective global approach to corporate support services
  • Establish and foster effective relationships with colleagues, stakeholders, and clients, including Department of Foreign Affairs (DFAT) and other attached agencies at Post
  • Contribute to knowledge creation, by adopting information practices, sharing knowledge and information, and by embracing best practice and development opportunities
  • Work collaboratively within the network to contribute to service delivery and achieve desired outcomes, while upholding the Values and Code of Conduct and Work Health & Safety (WHS) principles
