Job Description

We are looking for an experienced receptionist to join our Front of House team on an initial 12 month fixed term contract basis with a shift pattern from Monday - Friday (07.30 - 15.30, 08:00 - 16:00, 08:30 - 16:30, 09:00 - 17:00 & 10:00 - 18:00). Occasional late shift cover may be required - 15.30 - 23.00.

You are responsible for providing a standard of excellence for client care services to all visitors and callers. The role will involve greeting visitors and dealing with administration tasks in a professional manner. Answering telephone calls and providing first class service and knowledge to callers, data-input, booking of meeting room requests, Duties include but are not limited to:

  • To provide a high level of client care in all activities, demonstrating professionalism and attention to detail at all times
  • To deal with all clients, either in person or via the telephone, in a courteous and highly professional manner delivering strong client care
  • To fully adhere to agreed standards and procedures for all tasks undertaken
  • Provide internal support to Business Development, Marketing & Communications for assistance as required
  • To make conference room bookings in accordance with the instructions given accurately using meeting room software
  • To check the conference room bookings for the following day to ensure that all details are correct and to the required standards
  • Book all Concierge Requests - Taxi's, Flowers etc., and in accordance with the instructions given, and ensure adequate records are kept
  • To deal with car parking requests and ensure adequate records are kept
  • To ensure that the conference rooms and reception areas are kept tidy and in good working order to the required standard
  • Dealing with client requests for faxing, photocopying, etc., promptly and in accordance with the instructions given
  • Answer Incoming Calls to our service level standards (Call Monitoring in operation)
  • To deal with the administrative tasks and as when required.
  • Participate in Team Meetings and Provide Regular Feedback
  • Conduct 1:1 meetings with Supervisor to ensure work efficiency and personal development
