Job Description

What will you be doing:

  • Ensure the smooth running of our support office on a day to day basis.
  • Assist the Managing Directors from a PA perspective as required, including diary management, expenses, meeting organization, preparing correspondence/letters and liaising with key contacts on their behalf.
  • Provide administrative and ad-hoc support to the wider London businesses and management teams.
  • Organize, arrange and help plan a wide variety of events/activities.
  • Organize all travel and accommodation requirements where necessary on behalf of the Management team and producing clear and concise itineraries.
  • Produce collateral and a wide range of documentation in the Adobe and Microsoft suites as and when required.
  • Always acting as a positive and professional ambassador for the business.
  • Entirely responsible for the Portico Purchase card, receiving purchase requests, purchasing, tracking and then reporting to Finance Manager at the end of the month
  • Submit PM Timesheets every week for direct overheads, process holidays and keep a tracker of the regions holiday intake.
  • Maintaining updated calendars on SharePoint for example the holiday calendar for ops etc.
  • Being the main source of contact for London companies, Portico, Searcy’s, The Collection, Benugo & Bartlett Mitchell
  • Line managing the Portico office receptionist.
  • Organize and implement the room booking and desk booking system at the office.

Required Knowledge, Skills, and Abilities
Experience within a similar environment. Great communication skills, with the ability to work autonomously and within teams. Ability to work under pressure, priorities and focus on several different tasks simultaneously. Organizational skills. Resilient. Confident with IT systems. Excellent knowledge of Microsoft Office. Have a creative flair / outlook.
