Job Description

You will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility, composure and a good sense of humor. You'll need to understand the business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. You will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture.
What You'll be Doing…

  • Diary management: Ensure diary commitments, documents, and travel arrangements are managed effectively, dealing proactively and calmly with any problems
  • Travel management: Coordinate travel and accommodation requirements, including itineraries and logistics, across multiple time-zones. Research and forward-thought in regard to any COVID-related restrictions and planning necessary
  • Meeting management: Scheduling of internal and external meetings – planning, arranging, preparing rooms, equipment, meeting papers and, where necessary, organising catering and, in some cases, minute taking, meet & greet visitors, etc
  • Expense management: Processing work and travel related expenses on Oracle in a timely manner and respecting deadlines. Raising POs in Oracle and arranging for certain invoices to be processed
  • Plan and orchestrate work to ensure the senior executives' priorities are met, organisational goals are achieved, and best practices are upheld
  • Collating and circulating updates for internal memos, reports and documents
  • Support the planning and execution of team events
  • Establish relationships with EAs/PAs and other staff across the business in key locations
  • Ability to work flexibly, such as assisting with travel/logistics out of office hours on occasion, or may sometimes be expected to work a longer than average day to fulfil certain priorities that arise

Required Knowledge, Skills, and Abilities
  • Proven experience supporting senior management at a FTSE 100 company
  • Experience working within a fast-paced organisation
  • Excellent interpersonal skills with an ability to work with a variety of styles and personalities
  • Proactive, flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Effective and comfortable dealing with people at all levels of seniority
  • The ability to stay calm under pressure with a mature outlook and approach
