Job Description

You will be contributing to a team of highly committed professionals by ensuring smooth travel planning, calendar coordination, complex meeting planning, coordination of customer exhibition & events, as well as other administrative business processes.

  • You’ll be providing high-level administrative support by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
  • You’ll be answering phone inquiries, direct calls and provide basic company information.
  • You’ll be highly effective at performing administrative duties, taking meeting actions, maintaining files and organizing documents.
  • Organizing and arranging complex travel (domestic and international), itineraries, logistics and all related correspondence as required.
  • Planning and executing events such as meetings, business luncheons or client dinners.
  • You’ll be closely involved in the planning and coordination of off-site company events, meetings, and employee team building activities or special projects.
  • Organize and attend for support, with the help of external/internal consultants; industry exhibition and customer events
  • Work closely with legal and leadership team to manage legal documents on contract approval/signature and administration ( e.g. : ensure that all functional approval have been received before brought for signature by leadership)
  • Work with leadership to own the regional data-repository structure, to make it easy to use, easy to access the relevant information and kept up to date
  • Work closely with finance and procurement to be the “gate keeper” of our business and site requisitions (e.g. : ensure all approvals and information is accurate before the purchase order is created)
  • Be the point of contact for all site employees in case of facility issues and insure the coordination with the facility service provider and all service providers to the site Managing executive schedules and act as a liaison for ADM EMEA Leadership
  • Preparing reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings.
  • Handling confidential information with tact and discretion; organize and maintain files.
  • Preparing information and research per executive needs.
  • You’ll be closely involved in the planning and coordination of off-site company events, meetings, and employee team building activities or special projects.

Required Knowledge, Skills, and Abilities
  • Previous experience in a similar capacity as an executive assistant
  • Exceptional computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars and coordinating travel is a must.
  • Excellent written and verbal communication skills.
  • Meticulous time management, prioritization, and organizational skills.
  • Ability to work independently and autonomously with little supervision
